This Refund Policy outlines the terms and conditions governing refunds for services provided by CedarRelayForge. We are committed to fair and transparent refund practices that protect both our clients and our business.

1. General Refund Principles

CedarRelayForge operates on a milestone-based project delivery model. Refunds are evaluated on a case-by-case basis according to the project milestones achieved, the nature of the services rendered, and the specific circumstances of the refund request.

2. Eligibility for Refunds

Refund eligibility is determined based on the following criteria:

  • Service Not Delivered: Full refund if the contracted service has not commenced
  • Material Defects: Partial or full refund for services delivered with significant quality deficiencies
  • Breach of Contract: Refund proportionate to unfulfilled contractual obligations
  • Mutual Agreement: Refund as negotiated between parties for project cancellation

3. Refund Calculation Methodology

Refund amounts are calculated based on the proportion of work completed at the time of the refund request, the milestone payments received, and any third-party costs incurred that cannot be recovered. The following formula is applied:

Refund Amount = Total Contract Value - (Completed Milestones Value + Non-Recoverable Third-Party Costs)

4. Milestone-Based Refund Schedule

Discovery Phase 75-100% Limited scope completed, minimal resources consumed
Architecture Phase 50-75% Planning documents delivered, some engineering work completed
Engineering Phase 25-50% Significant development work completed and deployed
Deployment Phase 0-25% Near-completion status, final testing and optimization

5. Refund Request Process

  1. Submit a written refund request to [email protected]
  2. Provide detailed justification for the refund request with supporting documentation
  3. Allow 5-10 business days for initial review and response
  4. Participate in good-faith negotiation if initial assessment requires clarification

6. Non-Refundable Items

The following are generally non-refundable:

  • Third-party licensing fees and subscriptions already purchased
  • Domain name registrations and hosting prepayments
  • Work completed and accepted in writing by the client
  • Consulting sessions already delivered

7. Dispute Resolution

Any disputes arising from refund requests shall first be addressed through direct negotiation. If resolution cannot be reached, disputes shall be submitted to mediation before initiating any legal proceedings. Governing law is the Kingdom of Denmark, with disputes resolved in Copenhagen courts.
